How are you? I need your help. I am now working with a complaint about our exhibition Sound Systems 2011 at the Fortune Hotel between 23-25 February. One customer has complain that our on-line registration facility was totally unworkable. Apart from that, he complains that the venue is too small and too crowded. His final complaint is that there is no leaflet supplied to him. What should I do? Can you give me some advice? Thanks for your help.

Dear Ms Kong
I am writing to request for an approval of my suggestion to handle the complaint about the exhibition Sound Systems 2011 at the Fortune Hotel between 23-25 February.
1. Online registration
One customers has complain that our on-line registration facility was totally unworkable. The technical department said that the problem may be caused by registration of too many people and lead to sever overloaded. I recommend that we should upgrade the sever with greater capacity.
2. Venue is too small
He complains that the venue is too small and too crowded. I think that the customer was visiting the exhibition at the peak time. According to my investigation, the venue is only crowded in parts of certain time. I suggest the customer should change his schedule and come during non-peak hours.
3.No leaflet supply
The customer complains that there is no leaflet supplied to him. As for environmental friendly, we have not prepare the leaflet. My suggestion is that if the customer want the product information he concerns, we can put the leaflet of product information online.

I have investigated in the problems that you have concerned about. I found out that our on-line registration facility was unworkable at that time. This was caused by the registration of too many people and lead to sever overloaded.
We must apologize for the inconvenience caused by our on-line registration facility. In order to prevent this situation happens again, we will upgrade the sever with greater capacity.
However, I regret to inform you that for the issue of small venue, we think that the size of venue is suitable. It is mainly due to
your visit at peak times. We suggest you should change your schedule and come during non-peak hours.
Also, I am afraid that we cannot supply you the leaflet because of our environmental friendly strategies. If you want to get more product information, we have put the leaflet of product information online for your convenience.
